Planning a large fundraising event? Here’s what you need to know…

Events are a popular form of fundraising (whether it’s a family fun day, silent auction or charity ball). But for those organising the event, there’s a lot to consider and it can sometimes be very stressful and hectic! As a national training centre, we’ve hosted countless large events, so we’ve put together some tips that we’ve picked up along the way to help you plan your way to a great event.

Location, location, location

Envision the venue for your charity event – what will you need? Do you need to be near major road networks and good public transport links? Will you need a great Wi-Fi connection or overnight accommodation? Before you choose your venue, create a checklist and take it with you when you go hunting for the perfect location or start your search online.

Marketing

If you have a target to reach, marketing your event with a clear strategy is vital. Will you need to promote the event on social media and set aside some of your budget to boost posts? Will you send a press release to the local newspapers or get in touch with the local radio stations? Or advertise in the local newspaper? Market effectively with a goal in mind and make all your hard work count.

Create an event schedule

During the event, it’s vital that the people assisting know what they should be doing and when. Create an event timetable – an excel document is an easy solution. Break the day down into hourly segments and fill in the details. This way, no deliveries or important announcements will be missed.

Have a post event plan

Will you need to send individual thank you cards, post on social media or contact the winners of a prize draw? People will be much more likely to return next year if you openly appreciate their effort.
